The Role:
We’re looking for an experienced and highly organised Executive Assistant with a strong technical understanding to support the Global Head of Product & Engineering, while providing additional support to the People & Culture team and broader office as needed.
You’ll act as a critical partner to leadership, helping manage time, information flow, and logistics, while also contributing to cross-functional initiatives, particularly those related to engineering, product, and technology.
This role reports to the Global Head of People & Culture and is based in the Melbourne office with a hybrid work model.
Key Responsibilities:
- Manage a complex calendar with global time zones
- Schedule and coordinate meetings, prepare agendas, take notes, and track actions
- Proofread and format reports, technical documents, and presentations
- Liaise with technical teams to coordinate product or engineering inputs
- Coordinate domestic and international travel
- Monitor workflows and manage communications on behalf of the executive
- Maintain confidentiality and use discretion in sensitive matters
- Partner with internal stakeholders (People, Finance, IT, etc.) on projects
- Translate technical updates into clear executive-level summaries
- Support light project coordination with product/engineering teams
- Understand product roadmaps, timelines, and blockers to support prioritisation
- Support onboarding processes and staff events
- Coordinate weekly team breakfasts, supplies, and safety inductions
- Provide general office support and ad hoc assistance to the broader leadership team
You’re more than just an Executive Assistant — you understand how product and engineering teams operate and can communicate effectively in both technical and non-technical environments. You’re calm under pressure, proactive, and organised, with a natural ability to connect people and keep things moving.
What you bring:
- 5+ years’ experience supporting senior executives, preferably in tech
- A strong understanding of software development, product life cycles, or engineering environments
- Excellent verbal and written communication skills
- Highly proficient in G-Suite, Microsoft Office, and Slack
- Strong prioritisation, time management, and multitasking abilities
- Proven ability to manage cross-functional relationships
- High level of professionalism, discretion, and emotional intelligence
- Comfortable in a fast-paced, growing company where ambiguity is the norm
- Bonus: experience using tools like Jira, Confluence, Notion, or Miro
